This policy applies to students, parents or guardians, teachers, and other people who use eMaths Academy or provide information through emaths.lk. By creating an account, submitting information, or using our services, you acknowledge this policy.
2. Information we collect
We collect information needed to operate the Academy, deliver learning services, verify student identity, and manage course payments. This may include:
- Account and contact information, such as name, email address, mobile number, and login credentials.
- Student profile and enrollment information, such as date of birth, address, school, grade, course selections, and academic year.
- Identity-verification information, including a profile photo, National ID number, and National ID image when a student submits them for teacher review.
- Payment-related information, including payment receipt images, payment month, amount, and approval status.
- Learning and assessment information, including class enrollment, assignments, answer sheets, exam submissions, marks, and access to recordings or recorded lessons.
- Technical information required to operate the site, including session and security information used to keep accounts signed in and protect the service.
3. How we use information
We use personal information only for Academy operations and student services. This includes creating and managing accounts, providing classes and learning materials, verifying profile and payment submissions, administering assessments, communicating about courses, and maintaining the security and reliability of the platform.
We do not sell personal information or use it for advertising profiling.
4. Google Drive and learning files
eMaths Academy uses Google Drive for course materials, assignments, examination papers, answer sheets, and selected lesson-video access. The Academy's authorised Google Drive account is connected only by an authorised administrator.
Google Drive access is used to upload, retrieve, organise, share, and remove access to learning files. For recordings and recorded lessons, access may be granted to a student's registered email address and removed when the permitted access period ends.
5. When information is shared
Information is available only to people and services that need it to provide the Academy service:
- Authorised Academy teachers and administrators, for course administration, verification, support, and academic review.
- Service providers that support the platform, including hosting and Google Drive for the purposes described in this policy.
- Authorities or others where disclosure is required by applicable law, to protect users, or to protect the Academy's rights and security.
6. Storage, security, and retention
We use access controls and reasonable technical and organisational measures to protect personal information. Identity-verification images are kept in private application storage and are available only through authorised Academy functions.
We retain information for as long as it is reasonably needed to provide services, maintain academic and payment records, resolve issues, and meet applicable obligations. Information may be removed or anonymised when it is no longer needed, subject to these requirements.
7. Your choices and requests
Students can update available profile details through the Academy. For questions, corrections, access requests, or requests to delete information, contact us using the address below. Some records may need to be retained where required for academic, payment, security, or legal purposes.
Where a student is under the age at which they can provide consent under applicable law, a parent or guardian should review this policy and contact us where appropriate.
